Privacy Policy

Draft — last edited September 18, 2026

This is a starter draft, not final legal advice. It was written to give new Dance Lead Machine customers a clear, honest starting point, but it has not been reviewed by an attorney.

Before relying on this page with real, paying customers, have a lawyer review it, and update the contact details below with your real business information. This page also does not replace the privacy policy you show to your own dance students or leads — see the note in Section 3 below.

1. Who this policy covers

This Privacy Policy explains how Dance Lead Machine ("DLM," "we," "us") collects and uses information about instructors and studios who sign up for our software ("Customer," "you") and, separately, how we handle the lead information our software collects on a Customer's behalf.

2. Information we collect about you (the Customer)

  • Account information: your business name, email address, and login details.
  • Billing information: processed securely through Square. We do not store your full card number.
  • Usage information: how you use the dashboard, such as pricing you set up and settings you change.

We use this information to operate your account, process billing, provide customer support, and improve the Service.

3. Information collected on your behalf (your leads)

When someone chats with your AI receptionist, we collect information they provide — such as their name, phone number, email address, and what kind of dance services they're interested in — and store it in your account so you can follow up with them.

For this data, DLM acts as a processor on your behalf: you decide what it's used for, and you're responsible for telling your own leads how their information will be used (for example, in your own studio's privacy policy and text-messaging consent language). We simply store and deliver it to you through the dashboard and any follow-up messages you've set up.

We do not sell lead information collected through the Service, and we do not use it to advertise to your leads on our own behalf.

4. Text messages and consent

The AI receptionist may ask a visitor for permission before sending them text messages on your behalf. Message frequency varies, message and data rates may apply, and a recipient can reply STOP to opt out at any time. Consent is not a condition of purchasing any service.

We pass consent and message content through a third-party messaging provider in order to deliver texts. We do not use this content for our own marketing purposes.

5. Third parties we share data with

  • Square — to process your subscription payment.
  • Messaging/SMS providers — to deliver text messages to your leads on your behalf.
  • Hosting and infrastructure providers — to run the Service and store data securely.

We do not sell personal information to third parties for their own marketing purposes.

6. Data retention

We keep account and lead data for as long as your account is active, plus a reasonable period afterward in case you reactivate or need an export. You can request deletion of your account and associated data by contacting us.

7. Security

We use reasonable technical and organizational measures to protect the data in your account. No system is perfectly secure, and we can't guarantee absolute security.

8. Your choices

You can review, update, or export your account data from your dashboard, or by contacting us. A lead who wants their information removed should contact you directly, since you control that relationship — but we'll assist with a deletion request passed along to us.

9. Changes to this policy

We may update this policy from time to time. We'll post the updated version here with a new "last edited" date.
